About the role

This key role is about delivering an exceptional and unique team member and partner experience as we continue to enjoy our new 6 Green star rated support office at Chadstone. Managing the daily operations of the office to ensure we create a workplace that increases individual well-being, personal productivity, and organizational effectiveness, you will be responsible for overall office activities, including the building access and office use, facilities management, budget, compliance and safety. 

 

Day to day the role may include:

 

  • Building access: day-to-day operations of the system (access card/mobile app issuance, changes to access cards/mobile device, changes to access restrictions of areas, etc).
  • Handle all building access needs (including after-hours support) such as trouble shooting access issues.
  • Owner of desk booking system and occupancy sensing – space utilisation reporting, occupancy numbers, people counting, desk availability.
  • Greeting company visitors
  • Manage all facilities management related matters, covering both hard services, such as asset management, and soft services, including but not limited to waste, car parking and cleaning. Management of contractors and suppliers, regular liaison with building management.
  • Management of cleaning (office / amenities) and supplies

About you

To be successful in the role you will have extensive experience delivering best-in-class employee experiences within a large, complex office environment. You will have a toolkit of excellent office administration practices and procedures, and a continuous improvement mindset.

 

Further to this you will have the following skills/capabilities:

 

  • Strong organisational skills and planning skills with the ability to balance competing demands to prioritise and achieve deadlines and adapt to changing situations.
  • Strong stakeholder engagement with experience building both internal and external relationships.
  • High level of resilience and a flexible approach to work demands including responsiveness to fluctuating workloads.
  • Developed written and verbal communication skills.
  • Attention to detail and accuracy.
  • Demonstrated initiative including problem solving skills.
  • Sound judgment and decision-making ability
  • Exposure to Facilities Management services preferred.
